The collection of signatures (with a signature workflow)

In this tutorial, we would like to show you how you can define intelligent workflows with sproof sign when collecting signatures. A so-called workflow helps you to map complicated signature processes.

In this tutorial, we would like to show you how you can define intelligent workflows with sproof sign when collecting signatures. A so-called workflow helps you to map complicated signature processes.

Once you are logged in, you can upload a document in the top right corner.

Select your desired document or drag & drop the document onto the gray upload area. Then click on "Start Now" and the document will be uploaded.

Open the document by clicking on the document name in the dashboard.

Open the "Invite contacts" tab on the right.

  1. Enter the email addresses of the people you want to invite and confirm each with "Add contact".

For example, we want to send this document out to three business contacts for signature.

  1. To do this, we first enter the email addresses of the desired contacts to sign the document.
  2. In the next step, we can define the so-called signature workflow here in the highlighted area.
  1. First there is the possibility to edit the contact.
  1. After that, a sequence can be defined in which the persons have to sign the document. The document will then be released first for the people with the number 1 to sign. Once all the people from round 1 have signed, the document is released for the people with number 2 to sign, and so on.
  1. Clicking on the icon between order and trash can set the signature positions where the respective person has to sign.
  1. We place the first signature card on the document and resize it.
  2. By clicking **"Duplicate"**another signature position can be specified. This step can be repeated as desired.
  3. We confirm the position by clicking "Set positions" and you end up back in the overview.
  4. Clicking "Reset changes" removes the placeholders you just added and you can start over.
  1. Finally, the role of the invited persons can be specified. The pen icon means that the person should sign. Click to switch to the eye icon and this person can only open and view the document.

Click "Next" to set up the invitation.

  1. You can set a completion date and determine if and how often reminders should be sent out.
  2. If the document should be signed exclusively with the qualified signature, you can check this box.

The qualified electronic signature is 100% equal to the handwritten signature by EU-wide law. Thanks to the intelligent interface, signers have a choice of different options for the qualified signature.

  1. Last but not least, a personal message can be added.
  2. Then click on "Next" and finally on "Invite".

On the one hand, as soon as the document is sent, you can see here in the "Signature progress" who has already signed; among others, I have also signed this document myself. By clicking on the three dots you can revise the set signature positions, resend the invitation, or delete the contact altogether. Besides, you can also add new contacts to this document as signers at any time.

In the chat, you can also see all the relevant processes again and can also send direct messages to your contacts. Once a person has signed, you will see the signature card and can verify the signature by clicking on it.

All persons invited to sign receive an invitation by e-mail and can access the document at the click of a button.
